Agency Matching

Learn how GovSpend's Agency Matching service maps your organization list to standardized agency records to improve data quality, support CRM matching, and create targeted named account searches.

What is Agency Matching?

Agency Matching is a service that maps your list of organizations/accounts to GovSpend's agency database. By matching your records to GovSpend's standardized agency IDs, you can enrich your data, eliminate duplicates, and ensure you're working with the correct public sector organizations.

Agency Matching can be used in a variety of ways, including:

  • CRM Data Matching: Match agency accounts in your CRM (such as Salesforce or HubSpot) to GovSpend agency records for cleaner data mapping, targeted account enrichment, and more accurate account management.

  • Named Account Search Building: Convert a prospect or customer list into a searchable list of matched GovSpend agencies, making it easy to create targeted searches and monitor new opportunities.

  • Data Cleanup & Standardization: Normalize agency names across multiple data sources, eliminate duplicate records, and improve overall data quality.


File Requirements

To ensure the highest possible match rate, please submit your data in one of the following formats:

  • Microsoft Excel (.xls or .xlsx)
  • Comma-Separated Values (.csv)
  • Google Sheets

Required Fields

Your file must include:

  • Agency Name 
  • State

Recommended Fields

Including additional information can improve match accuracy, particularly for agencies with similar names.

Recommended fields include:

  • Website
  • City
  • ZIP Code
  • Street Address
  • NCES ID (for K-12 schools)
  • Agency Type

Match Rate

For clean lists consisting of public sector agencies, GovSpend typically achieves a 90% or higher match rate. Actual match rates may vary depending on the quality and completeness of the data provided.


Reviewing Your Results

Once matching is complete, our team reviews any unmatched records to identify additional matches whenever possible.

Records that are matched will be included in their own tab of the output spreadsheet. The following additional columns will be available for your review/use:

  • Matched Agency Name - This is the GovSpend Agency Name of the matched agency
  • Matched Agency ID - This is the GovSpend Agency ID of the matched agency. This is the field you'll want to use within your CRM or to build searches within GovSpend for most accurate results.
  • Matched State - This is the State associated with the matched agency
  • Match Confidence - This is a confidence score given to the match based on multiple factors. 
  • Match Status & Match Status Detail - This indicates the status of the match, whether it's a match, no-match, or needs review. In the matched output, it's recommended you look at any records with a status of "Needs Review" to ensure you agree with the suggested agency match.
  • Suggested Match IDs - If more than one agency in GovSpend is a candidate to match with one of your accounts, the IDs of those agencies will be listed here. The best match is always selected but this gives you the option to review the suggestions manually if you don't agree with the match.
  • Suggested Match Name - If more than one agency in GovSpend is a candidate to match with one of your accounts, the names of those agencies will be listed here. The best match is always selected but this gives you the option to review the suggestions manually if you don't agree with the match.

Any records that cannot be confidently matched—or require additional verification—will be placed on a separate tab in the results file. This allows you to review those records manually and determine the appropriate match, if applicable.
