This article reviews how to use AI Chat in Bids, Contracts and Meeting Intelligence that allows you to get further insights about a Bid, Meeting, or Contract record with a few easy steps.
We've introduced a new AI-powered feature that allows you to gain quick insight about a Bid, Contract or Meeting record without reading through pages of documents or listening to hours of meeting content. Quickly understand the purpose of the record you're looking at as well as important information such as contacts or submission deadlines, meeting attendees, etc. with the click of a button!
Learn how to access it by clicking here.
The AI prompt and chat feature is currently available in Bids & RFPs, Meeting Intelligence, and Co-Ops & Contracts. You'll find it in the top right corner of any Bid or Meeting detail page.
AI Chat Functionality
Not finding what you want from the preset prompts? Enter your own custom question, continue to chat, and access your chat history as reference in the future.
Overview of Chat functionality:
- When you first open GovSpend AI, use the chat input at the bottom of the panel to enter a custom question about the Bid, Contract or Meeting record you have loaded.
- Hit enter or click the submit button to generate a response.
Note: Custom chat responses are generated based on the content of the Bid, Contract or Meeting record. This includes all information on the details page, associated documents, and available meeting transcript. No external information is used in the generation of a response.
- Once you have an initial response, you can continue entering custom questions in that same thread by using the chat input at the bottom of the panel.
- Any of your chat history from that thread will be used as context to generate subsequent responses. This means you can ask questions based on a previous response.
- You can also input a custom question after clicking a prompt and getting an initial response.
Chat History:
- Once you enter and submit a custom question via the chat input in GovSpend AI, your chat will be stored.
- Access your chat history from the left panel in GovSpend AI
- Each chat you create will receive a Title generated by AI based on the question you originally entered
- You can "Rename" your chat by clicking the 3 dots to the right of the chat title and entering in a new title. Click "enter" once you've input the new title.
- Chats are organized by date, with the most recent at the top of the list
Note: Chat history is search module specific. This means that when you are in bids, you can only view chats you've created related to bids. Similarly, when you are in meetings or contracts, you can only view chats you've created related to meetings or contracts, respectively.
- Click any chat title in the left chat panel to open up that chat
- If you open a chat that is not related to the record you have loaded, you'll see a banner appear at the top of the chat thread
- This indicates that the chat is not in reference to the record you have loaded. Click the "Click here" link to open up the original record in a new tab.
- Chats related to the record you have loaded will be pinned to the top of the chat history list under "Current Record". This makes it easy for you to find any chats related to the record you are currently looking at.
- If you have a chat loaded, click "Start New Chat" to return to the home screen and either start a new chat from scratch or click available prompts.
- Delete a chat via the 3 dot menu next to the chat title or clicking the "Delete" button in the top right of your chat screen.
Additional Features
- At the bottom of each response, you'll see a set of action buttons
Each icon performs a different action:
- Copy: Allows you to copy the full text available in the generated response. Simply click the "Copy" icon to copy the text and then paste in email, a document, etc.
- Thumbs Down: This indicates a "bad response". If the response you receive is not as expected or did not provide value, click the "thumbs down" icon to submit that feedback.
- Thumbs Up: This indicates a "good response". If the response you receive is as you expected and helpful to you, please click the "thumbs up" icon.
Note: Feedback you provide on the quality and accuracy of a generated response helps us to further improve this feature. We appreciate you taking the time to rate the responses!
- To close out of GovSpend AI, click the X icon in the top right or click anywhere outside of the GovSpend AI modal.
