AI Notebook: Overview of Features

This article gives an overview of the features available within notebook that can help you manage your work.

The AI Notebook is a beta feature that allows you to bring in multiple records of interest to further interrogate and gain insights. You can create projects with records from just one module, or bring a combination of records from different modules into the same project. The power of the tool is that it allows you to ask questions across all the records in your project at once.

How to Access the AI Notebook

  • From within GovSpend, open the "Account" menu, located in the top right of your screen

  • Find and select "AI Notebook" to launch the notebook feature

  • This will open up the notebook as its own page within GovSpend

Basic Overview of Notebook Features

Once you are in the AI Notebook, there are three main sections. On the far left is a panel dedicated to managing your projects, in the center you can view and annotate documents, and on the far right is your chat. 

Below is a high level review of the various features so you are familiar before you get started adding data:
  • Projects: Projects are used to organize the data that you bring into your Notebook. When adding records to your notebook from GovSpend, you must either create a new project or select an existing project to send those records to.
    • In notebook, access your projects in the top left of the tool by clicking the dropdown
     
    • Any projects you create in GovSpend will appear for your selection
    • Once you select a project, all the records you've added to that project will display in the left panel

     
    • Click "New Project" to create a new project in your notebook
       
      • Note: If you create a project within notebook, it will be available to select when you add records from GovSpend
    • Use the gear icon to the right of the project list to rename or delete a project
      • Select your project
      • Click the gear icon
       
      • Rename or delete 

    • Use the toggle on the far right to collapse the projects menu for easier viewing of your documents and chat

  • Document Viewer: In the center you can view and annotate any documents or records in your project. Simply select the document you want to view and it will load in the center screen.

    • There are numerous annotation capabilities available within the document itself:
      • Create a text highlight: Select any text within the document and then click "Add highlight"

      • Send highlight(s) to chat: Highlight the relevant context and select "send to chat", or hover over an existing highlight, click "Quick Actions" and then "send to chat".
         
        • You can send multiple different highlighted sections to chat and then they will all be available as context when you ask questions. You'll see them right above the chat input and can click each to get back to the section in the document for reference.
         
        • You can then ask targeted questions of the highlighted context. For example, you can highlight something you don't understand and ask,  "What does this mean?". The response will be generated based specifically on the context that you've sent to chat.
        • Your highlighted context will also appear in the left panel under the associated document. This allows you to get back to important context you highlighted in the future.

      • Create an area highlight: With "area" mode on (select the square in the panel at the bottom of your document viewer) you can select an area of the document to highlight.

      • This is useful for highlighting tables, charts, or graphs within the document

      • Extract or transform data into new files: You can extract charts, data, or textual context into a CSV. Simply use "quick actions" or highlight the context in the document, select "Extract to..." and select where you want to send the data.

        • This will send your selected data to chat where the prompt will automatically start creating your requested file.

        • Once ready, the file will be available in the left panel for you to open or download

  • Chat: The far right panel is where you can go to ask questions across your entire project or about specific records in your project.
     
    • Use the chat input to enter in a question and click "enter" to submit
    • Access your chat history using the dropdown at the top of the panel. Note that you can only access chats associated with the project you have loaded.

    • Click "New Chat" from the chat history dropdown to start a new chat
     
    • Click the icon directly left of the chat history to collapse the chat panel
     
    • Click the "expand" icon to expand the chat panel. The chat panel will replace the document view. We recommend this when you are working with chat in the notebook to make it easier to view and evaluate results.
