How to Export Search Results

In this article, we cover how to export new and saved searches and view your available export credits.

How to Export a New Search

1. Export functionality is available in Bids & RFPs, Co-ops & Contracts, Spending Contacts, and Meeting Intelligence.

2. Once you have generated your desired search results, click Export in the menu above the main search bar.

3. A Save and Export Search pop-up will appear, asking you to input the following information:

  • Saved Search Name, so you can return to your search at any time.
  • Saved Search Tags, so you can organize your searches by topic, market, sales rep, etc.
  • What would you like to export: Select the data you want to export, which varies across modules. Below are the export options for each search module: 
    • Bids & RFP's:
      • Bids: This will export data associated with the Bid records in your search.
    • Co-ops & Contracts:
      • Contracts: This will export data associated with the Contract records in your search.
    • Spending:
      • Purchase Orders: This will export data associated with the purchase orders in your search.
      • Agency Stats: This will export agency stats including number of purchases and total purchase spend.
      • Company Stats: This will export company stats including number of sales and total sale value.
      • Agency Contacts: This will export all of the contact details associated with all agencies included in your saved search.
    • Contacts:
      • Contacts: This will export data associated with the contacts in your search.
    • Meeting Intelligence:
      • No need to make a selection here, data associated with the meetings in your search will be exported.
  • Which columns would you like to include:
    • Default: This is a set of pre-defined columns, typically very comprehensive for the dataset.
    • Visible: This is the set of columns you've selected and are visible in your search.
  • Choose your export format: Select the format of the data you export to work best for your needs.
    • CSV: This exports the data in CSV format, which is a comma separated variable file. No fields are truncated. The export will be saved to your computer with a file extension of .CSV
    • Excel: This exports the data in a format compatible with Microsoft Excel. Note that large text fields are truncated to meet the limits in excel so that the export formatting doesn't break. The export will be saved to your computer with a file extension of .xlsx.

Pro Tip: We recommend using the Excel format if the primary spreadsheet application you use to open and manage exports is Excel. This will ensure all data is exported in a usable format.

4. Once you've made your selections, click EXPORT and you will be taken to the Exports page.

6. From this page, you will see each export file that has been created under your company account. Locate the name of the search that you exported, then click the "DOWNLOAD" button.

Exporting an Already Saved Search

1. Hover your cursor over the left-hand navigation bar and select Saved Searches

2. Select the download icon next to the search that you wish to export

3. A pop-up will appear on your screen. Set your export preferences for the below three items:

  • What would you like to export
  • Which columns would you like to include
  • Choose your export format

Once all of the above steps have been completed, the export will be saved to your computer with a file extension of .CSV or .xlsx, depending on your format selection. This file is opened using a standard spreadsheet application on your computer for editing purposes, such as deleting or filtering columns.

Monthly and Bulk Exports

There are two currencies for exports:

  1. Monthly - This amount replenishes every month. Example: If you receive 5,000 exports monthly, then you use 2,000, the amount will be reset to 5,000 at the beginning of the next month.
  2. Bulk - This amount is a static number, and does not replenish when used. Bulk exports will be used before monthly exports.

To view your available credits:

  1. Navigate to your Exports page in the left-hand navigation menu
  2. On the right-hand side, you will see your available amount of exports.
