November 2024: Bids Enhancements, Enhanced AI Keyword Suggestions, Export Updates

Bids & RFP's: Calculated Due Date Description

We’ve added additional detail to the “Due Date” tooltip on the Bid Details page to indicate when a Bid Due Date is calculated. This gives transparency to customers that we calculate the due date when not provided on the Bid itself.

AI Keyword Suggestions: Enhanced Suggestions

The AI model driving the AI Keyword Suggestions feature in GovSpend has been updated, resulting in much improved results. Enter 3 keywords and click the lightbulb icon to get more refined and related keyword suggestions for your search!

How to Find It:

  • Go to any search module
  • In the main search bar, type in 3 keywords
  • Once you’ve entered 3 keywords you should see the light bulb turn blue
  • Click the light bulb to generate keyword suggestions
  • Click any of the suggestions to add to your search!
  • Note: Functionality of this feature all remains the same, results should just be more relevant and improved for our users! 

SLED Agency ID Field in Spending: Addition of "Matches" Filter Type

We added the “Matches” filter type to the SLED Agency ID field in Spending. Now you can enter in a list of Agency ID’s like keywords and search, as opposed to manually clicking them from a list. This should help make filtering by agencies more efficient!

How to Find It:

  • Navigate to the Spending Module
  • Click “Add Filter” at the bottom of the left set of filters
  • Search and select “SLED Agency ID” and click “Add 1 Filter”
  • Click the 3 dots next to the filter name and select “Change to Matches
  • Enter in the ID’s you want to search like you would keywords 
  • Click Search to filter your results
  • Note: SLED Agency ID is GovSpend’s unique Agency identifier. This functionality is useful for customers who want to build searches based off a set list of Agencies.

Company & Agency Stats Exports: Export Limit Messaging

We've improved messaging around export limits for Agency Stats and Company Stats in the Spending Module. Now if you try and run an export above the limit of 65K records, we display a warning message in the Export modal. You can proceed with the export of up to 65K records, or you can return to your search and modify it below that limit.

How to Find It:

  • Navigate to the Spending Module
  • Create a new search or load an existing search
  • Click “Export
  • Select “Company Stats” or "Agency Stats" under “What would you like to export”
  • When the number of Company or Agency records in your export is over 65K, a warning message now displays alerting you to the fact that you are above the limit
  • You can decide to proceed and export up to 65K records, or cancel and modify your search to be under the 65K limit

Bids & Contracts: Documents Open in New Tab by Default

We’ve made an update to ensure that PDF file types are opened in a new tab within your browser as opposed to auto-downloading. Access files quickly and easily directly from a Bid or Contract details page!

How to Find It:

  • Navigate to the Bids & RFP’s  Module via the left navigation menu
  • Find a Bid record that also has documents (refer to the Documents column)
  • Click the Bid Description to navigate to the Bid Details page
  • Click a PDF file link from the Files tab
  • Document link will open in a new tab in your browser (this applies to the majority of PDF files)
  • The same functionality is also available for Contracts within the Co-Ops and Contracts module

Bids & RFP's: Improved Table Formatting on Bid Detail Pages

We’ve continued work to improve formatting of data within a Bid Details page so customers can more easily interpret the data quickly. This enhancement is focused on “Links” tables that can be found within specific bids.

How to Find It:

  • This update is available in the Bids & RFP’s  Module via the left navigation menu
  • Click the Bid description to navigate to a bid details page. Not all Bids will have these tables, so click here for an example
  • Scroll to the bottom of the details page to see the improved table formatting
