Agencies Release: Saved Search Migrations
This article reviews how we've migrated your saved searches to use a new set of agency fields, along with tips to review and update your migrated searches.
Saved Search Migrations
In order to support the release of a standardized set of Agency data across GovSpend, we've updated the Agency fields in all modules (Click here for a full overview of the Agency release). This means that going forward all new searches you create will use the new Agency fields. We've also run a process to update your existing saved searches to use the new fields. Read on to understand what to expect when reviewing your existing saved searches.
Accessing Your Saved Searches
- Navigate to the Saved Searches page to find all of your searches and your Organization's searches
- All of the searches you see on this page have been migrated, meaning they are updated to use the new set of Agency fields (for information on the new Agency fields available click here)

- A few important notes about the saved search migrations:
- All your searches have been migrated, including searches where agency filters aren't in use. This is to ensure those searches have the new fields in case you want to filter by them in the future.
- Alert settings have also been migrated to your new search and turned off for your legacy search. This means you'll continue to get alerts as expected.
- If you have a search that is filtered by Agency filters, for example Agency Type or Agency Name, we've mapped your filter values from the old fields to the new fields.
- In order to help you compare your old and new searches in case you need to make any changes, we also provide you with a link back to your old search in read-only mode. You can ONLY access your legacy saved search via a link available in your migrated saved search (legacy saved searches no longer appear on the saved searches page)
-
- Note: We've done our best to make sure your new searches are accurate, but in some cases there may be discrepancies. We highly recommend you review your new search and compare to your old search following the steps below.
Reviewing Your Migrated Saved Searches
- From the Saved Searches page, click one of your searches to open it up
- When you open your search you'll see an orange banner. This let's you know that the search has been migrated and gives you a link back to your old saved search.

- The main updates to your search include the following:
- Updates to the default Agency filters on the left to be the new fields. There is no change in the default filters available.
- Updates to your search results to use the new Agency fields, this includes updating the Agency link to take you to the new Agency Profile page.

- Use the link in the banner to open up your legacy saved search for comparison, your legacy search will open in a new tab.
- Once your legacy search is open you'll notice a few things:
- We've added (Legacy) to the end of the Search Name so that you don't confuse it with your migrated search
- There is a banner on your legacy search to let you know that the search is no longer active. It also gives you a link to your migrated search so you can easily go between the two searches.
-
- Your legacy search is in read-only mode so you can't save modifications or access any links.
- Note: We will eventually remove the legacy saved searches once all users feel that their new searches look good.
- Searches that aren't filtered by Agency fields should be exactly the same just with the new Agency fields available as filters and in the results table.
- Searches that use the Agency fields as filters may change a bit or require some manual updates. Below are additional details on how the filters have been mapped and some tips to review and update your migrated searches.
- Agency Name: The goal of this release is that we standardize the Agency data across GovSpend, meaning we'll have one primary Agency Name for each Agency. In some cases you may have a legacy search that uses the non-primary name. We've used logic to map that non-primary name to the primary name, but we advise you to review your searches to ensure all your Agency selections remain accurate.
- Matches Filter Type - If you've used the Agency Name and "matches" filter type (where you enter in agency names as keywords), your migrated search will have a copy of all the agency names you entered from your legacy search. Results should be very consistent between your legacy and migrated search.

- List Filter Type - If you've used the Agency Name and "List" filter type (where you select your agencies from a list) we've used logic to map your selections to your migrated search. Because of potential differences in your original Agency Name selections and the primary Agency name going forward, there could be some slight differences between your legacy search and your migrated search. We recommend you review your legacy search to determine if you need to make updates to your migrated search:
- Open up your legacy search via the banner from your migrated search and compare your results. Let's take a look at an example:

- If you notice a difference in the search results like in the example above, compare the selections in the Agency Name Filter. You'll see in this example that in the legacy search "West Virginia University, West Virginia" is a selected agency, while it is not in the migrated search.

- To ensure your migrated search matches your legacy search, in the example above you simply need to find and select "West Virginia University, West Virginia" in the Agency Name filter. Once you've done that click "Search" and "Save Search" to save your update to your migrated search.

- Agency Type: With this release we've introduced additional new Agency Types to this filter. We've also made the Agency Type selections consistent across all search modules. This means that we've mapped your Agency Type selections from the old field to the values available in the new field.

- To review and compare your legacy and migrated search, use the banner on your migrated search to open up your legacy search.
- Expand the Agency Type filter to review your original selections and how we've mapped those to the new Agency Type filter. In the example below, you'll see that we've mapped the original "Public Schools" value to "K-12 Schools" and "K-12 Districts" in the migrated search.

- We highly recommend you review this mapping since we've introduced more granular Agency Types. You may be able to create a more refined search going forward!
- Pro-tip: Add the new "Level of Government" field if you're interested in all the State or Local agencies. Since we no longer have "State & Local" as an option in the Agency Type field, the Level of Government field is a great option to quickly filter for those agencies as opposed to using the now more granular Agency Type filter.
